Many site teams use WhatsApp for progress, issues and photographs. It is free and everyone already has it. That does not make a chat thread a site record.
A QS cannot quote a disappearing conversation when a compensation event is challenged. These are the eight reasons.
1. Unstructured information
WhatsApp has no set fields. Weather, access time and labour get missed. Client updates then use different words each week, so nobody can compare one period with the next.
2. You cannot find it when you need it
You will need the same facts later for a compensation event, a dispute or a lessons review. WhatsApp can search words. It cannot filter by shift, date and activity in a way a PM will accept.
3. Double handling
Someone still types the chat into a report. By the time it is circulated the shift has moved on. You cannot forecast from a thread that is already stale.
4. Records get lost
Most contracts want shift records kept for 6 to 12 years. A phone chat does not survive that. A report typed from the chat can be edited by anyone with drive access.
5. GDPR
WhatsApp does not recommend the app for professional use. Site reporting can include staff names, budgets and scheme detail. When people leave, the thread leaves with their phone. You cannot show a GDPR auditor who held what, or when it was deleted.
6. Unusable in a report
Clients want metrics against milestones or the application. Notes typed from a group chat will not substantiate a delay.
7. No chain of communication
In a group you cannot prove the right person saw the message before the thread moved on. You also cannot verify what you were told.
8. No later learning
You cannot average output or build a risk register from a chat archive. Historic hours and activities have to live somewhere a QS can sort.
What a QS actually needs
A dated line in the site diary: who, what activity, how long, and why it changed. Keep WhatsApp for coordination. Do not keep it as evidence. Rosie cannot read a disappearing chat against the contract. She can read a diary line written that day.
