Key Takeaways

One long list is where documents go to hide

Drawings, method statements, permits and briefings all land in the same project. Left as a single list, finding the current permit at the start of a shift becomes the hard part. Folders fix that without changing how documents are uploaded.

Organise the way your team already thinks

Create folders inside the project, give each one a name and a colour, and move documents into them. Group by discipline, by location, by document type, whatever your team will actually use. There is no structure imposed on you.

Status and signing progress stay visible

Moving a document into a folder does not hide what matters about it. You can still see the document status and how far through signing it is, so a briefing waiting on three signatures is as obvious inside a folder as it was in the list.

Folders change as the project does

Rename, reorganise or delete folders whenever the project moves on. A structure set up at mobilisation does not have to survive to handover unchanged. The documents themselves stay put on the project.
